Terms and Conditions of Booking
All bookings are subject to the terms below. Organisers must review and accept these terms before completing payment or confirming a booking.
The IDMC Ghana Training and Innovation Hub provides elite opportunities in professional development, digital media, and corporate strategy. Activities hosted within the premises must not undermine the IDMC Ghana brand or bring it into disrepute.
Tentative bookings are not permitted. A preferred slot will be held for a maximum of 24 working hours after an official digital request is received. All reservations must be finalised at least two weeks before the scheduled event date. A mandatory venue walkthrough, also known as a recce, must be conducted by the event organiser.
The Hub operates within the following booking intervals:
Morning: 08:00 to 12:00
Afternoon: 12:00 to 16:00
Evening: 16:00 to 20:00
All Day: 08:00 to 16:00
Full Day: 08:00 to 20:00
All events, including teardown, cleanup, and locking of the facility, must end strictly by 20:00. Unauthorised overtime attracts a penalty equivalent to twice the standard hourly rate.
Event organisers are responsible for protecting display screens, digital inputs, the lecturer’s podium, furniture, walls, windows, doors, and all venue infrastructure. The African-geometric accent wall must not be covered, obscured, or damaged. Temporary branding may only be displayed within the specific rented zone. The applicant is liable for repair or replacement costs caused by damage or neglect.
Food and beverages are not allowed inside the presentation rooms or the Corporate Kraal. All food and beverages must be served and consumed only within designated breakout areas or external terrace spaces. Event organisers are responsible for ensuring that caterers clear all food and beverage waste immediately after the event.
Loud music, microphones, and disruptive multimedia noise are regulated during standard working hours. Permission for high-volume audio must be requested in writing and remains at the discretion of Hub management. Chanting, pouring of libation, incense burning, and highly contentious political or religious ceremonial activities are not permitted. Organisers must disclose during booking if tickets are being sold or participants are being charged.
All facility hire fees must be paid in full through the approved online payment link, Visa card, Mastercard, bank transfer, or mobile money account within two days of the expression of interest to lock in the booking dates. Personal and corporate cheques are not accepted. Cancellations made with at least 10 working days’ written notice receive a full refund of deposits paid. Short-notice cancellations or rescheduling requests result in forfeiture of the deposit. IDMC Ghana is not responsible for loss or damage of personal items belonging to attendees, facilitators, or contractors.
